Your new role As Receptionist / Practice Manager, you will act as the first point of contact for clients and visitors, ensuring a professional and welcoming experience at all times. You will play a pivotal role in the day-to-day running of the office, supporting senior management across a broad range of administrative, operational and compliance responsibilities will include:
- Meeting and greeting clients and visitors
- Managing incoming calls and directing enquiries appropriately
- Handling correspondence, emails, post and document management
- Diary management and administrative support to senior stakeholders
- Filing, archiving, photocopying and general office administration
- Liaising with external suppliers, contractors and cleaning services
- Ordering office and stationery supplies
- Supporting recruitment-related administration
- Maintaining client records and databases
- Assisting clients with portal access and account setup
- Managing credit control activities, debtor reporting and collection processes
- Processing sales invoices, receipts and client statements
- Supporting purchase ledger administration and payment processing
- Coordinating staff holiday requests and records
- Supporting health and safety compliance, including annual reviews and testing schedules
- Leading annual policy reviews and compliance updates
- Acting as Data Protection Officer and coordinating GDPR-related activities
- Supporting Anti-Money Laundering compliance processes
What you’ll need to succeed To be considered for this role, you will demonstrate:
- Previous experience in a reception, office management, practice administration or business support role
- Strong organisational and multitasking abilities
- Excellent communication and interpersonal skills
- A professional and client-focused approach
- Experience managing confidential information with discretion
- Strong IT skills and confidence using databases and Microsoft Office applications
- The ability to prioritise workloads and work independently
- Experience supporting finance administration, invoicing or credit control would be advantageous
- Knowledge of GDPR, compliance or regulatory processes would be beneficial
