Partnerships Lead – Volunteer

Company: Endometriosis South Coast
Apply for the Partnerships Lead – Volunteer
Location: Portsmouth
Job Description:

Help drive ESC’s growing partnerships behind the scenes. As Partnerships Lead, you’ll coordinate volunteer updates, maintain the CRM,manage partnership records, support our MarComs Trustee. Ideal for someone organised, detail-oriented,passionate about making an impact.

What difference will you make?

The Partnerships Lead is a new role sitting inside the MarComs & PR team, created to give Amy-Jane Gilbert (MarComs Trustee) a single point of coordination across ESC’s growing partnerships activity, rather than three separate volunteer relationships to manage individually alongside her own comms and brand remit.

This is an internal support and administration role, not a partner-facing relationship-owner role. The Partnerships Lead collates updates from ESC’s three Partnerships Team volunteers (Corporate & Femtech Partnerships, Sponsorship & Events Liaison, and Medical/NHS Liaison) into a single monthly view, owns the CRM and partnership document administration, and drafts paperwork for Amy-Jane’s review — freeing her to focus on the relationship and negotiation judgement calls rather than the admin underneath them.

The role mirrors the Event Coordinator function already used in ESC’s Community & Outreach Team Lead structure, applied here to partnerships a coordination layer between the Trustee who owns the relationships and the volunteers delivering the day‑to‑day work.

  • Comfortable maintaining an accurate, up-to-date CRM or tracking system.
  • An understanding of GDPR and data handling responsibilities.
  • Commitment to upholding ESC’s values of equality, diversity, and inclusion.

Desirable

  • Experience in a coordination, PA, operations, or partnerships administration role.
  • Experience using a CRM system.
  • Experience drafting or reviewing simple contracts or terms of engagement.
  • Knowledge of the charity or non-profit sector, or lived experience of endometriosis.

Remote

Endometriosis South Coast (ESC) is an inclusive charity dedicated to supporting people along the South Coast who are navigating the diagnosis journey or living with endometriosis. We know that this condition can be isolating and often misunderstood — so everything we do is built around ensuring no one faces it alone. Through awareness campaigns, an active online community, monthly support meetings, and targeted fundraising, we work to make a genuine difference in the lives of those affected.

Our work is guided by four core commits: spreading awareness of a debilitating and frequently overlooked condition; supporting and funding ongoing research; providing accessible education and peer support through our monthly community meetings; and fundraising to sustain and grow our services for the future.

Duties & Responsibilities

Reporting & Coordination

  • Collect monthly updates from the Corporate & Femtech Partnerships Volunteer, Sponsorship & Events Liaison, and Medical/NHS Liaison, and combine them into a single monthly report for Amy-Jane Gilbert
  • Flag any stalled partnerships, missed actions, or capacity concerns across the three volunteer roles
  • Coordinate scheduling for any joint Partnerships Team catch-ups

CRM & Systems Administration

  • Own the day-to-day administration of ESC’s partnerships CRM (or agreed interim tracking system), ensuring all three volunteers’ activity is logged consistently
  • Maintain version control of the partnership deck, case studies, and contract templates, so the Partnerships Team always works from the current version
  • Keep the Contact Repository’s Pipeline Dashboard accurate and flag any data quality issues back to the relevant volunteer

Terms & Negotiation Support

  • Draft first-cut Terms & Negotiation paperwork (scope, deliverables, cost) from volunteer input, for Amy-Jane’s review and sign-off rather than her drafting from scratch
  • Prepare briefing summaries ahead of Amy-Jane’s pitch or negotiation conversations, drawing on CRM records and volunteer updates
  • Track contract renewal dates and flag them ahead of expiry

Pipeline & KPI Tracking

  • Track partnership pipeline status against the Partnership Strategy’s KPIs (e.g. Femtech and Corporate longlist targets, number of strategic partnership types generating recurring value)
  • Track partnerships against the Partnership Tier Structure, flagging any tier changes for Amy-Jane to confirm
  • Provide a simple, regular view of progress so Amy-Jane can see pipeline health at a glance rather than assembling it herself

Governance & Escalation

  • Escalate any partnership approaching a Founder sign-off threshold (grant-funded spend, new clinical/Femtech category, exclusivity or brand risk) to Amy-Jane promptly, per the Partnerships Workflow
  • Declare any conflicts of interest promptly in line with ESC’s Conflicts of Interest Policy
  • Handle all contact and partner data in full compliance with GDPR
