Rutland House Surgery is seeking a dedicated and experienced Assistant Practice Manager to join our friendly, supportive, and forward-thinking team.
We are looking for an organised, motivated, and proactive individual with a strong background in healthcare management and previous experience working within a GP practice setting. Candidates must have a minimum of two years’ experience in a similar Assistant Practice Manager role and demonstrate excellent leadership, organisational, and communication skills.

As our Assistant Practice Manager, you will support the Practice Manager in the day-to‑day operational management of both branches, helping to ensure the smooth running of services and the highest standards of care for our patients. You will work closely with clinical and administrative teams across both sites to support the efficient and effective delivery of healthcare services and contribute to the ongoing development of the practice.

Job responsibilities
As Assistant Practice Manager at Rutland House Surgery, you will support the Practice Manager in the day‑to‑day operational management of our two practice sites, ensuring the smooth and efficient delivery of services and maintaining the highest standards of patient care. This is a varied and rewarding role that combines operational management, staff leadership, administrative oversight, and patient‑focused service delivery.
Key Responsibilities
- Support the management and supervision of clinical and non‑clinical staff across both practice sites.
- Oversee administrative systems, operational procedures, and patient services to ensure the effective running of the practice.
- Assist with staff rotas, recruitment, induction, training, appraisals, and HR processes.
- Develop, review, and update practice policies, procedures, and operational protocols.
- Work closely with patients, staff, PCN colleagues, and external healthcare organisations to support service delivery.
- Assist the Practice Manager in ensuring compliance with CQC standards, NHS contractual requirements, information governance, and practice policies.
- Support quality improvement initiatives, audits, and performance monitoring across both branches.
- Maintain and improve administrative processes to enhance efficiency and patient experience.
- Demonstrate strong administrative and IT skills, including proficiency in EMIS Web, Accurx, Agilio TeamNet, Microsoft Office, and NHS digital systems.
- Communicate effectively with patients, colleagues, and external stakeholders, maintaining professionalism at all times.
- Act as a proactive, flexible, and supportive member of the management team, contributing to the ongoing development and success of Rutland House Surgery.

Person Specification
Qualifications
- GCSE Grades C or above in English and Maths
- Ability to speak and communicate clearly and proficiently in English.
- Qualifications relating to (healthcare) management
Experience
- GP Surgery Management Experience (minimum 2 years)
- GP Surgery Administrative Experience
- Proficient in ICT
- Proficient in use of EMISWeb or SystmOne
- Experience in supervising and appraising staff
- Human resource management
- Knowledge of NHS management and primary care structure
- Experience in writing and reviewing healthcare policies in primary care
