A Message from the Hiring Manager
I am really excited to share this opportunity to join our Fractional CFO team as Operations Manager. We are a small but ambitious team, providing finance leadership and management support to our clients on a fractional basis.
We are looking for someone with great people skills, who is organised, proactive and comfortable working across systems, teams and processes. We also need someone with the confidence to identify where systems aren’t working and suggest solutions. It’s a role with the ability to have a strong impact on our operations, and an opportunity to help shape how a growing part of the firm operates. We are open to flexible working options, and this role could be part time.
As an Operations Manager supporting the CxO team, you’ll be at the heart of delivering high-quality advisory services ensuring our resources are aligned, coordinated, and effectively managed. Working across a fast-paced professional services environment, you will play a pivotal role in balancing the needs of client work, team capacity, and operational priorities.
You will play a key role in optimising team effectiveness by supporting how resources are planned, tracked and deployed across engagements. By maintaining clear visibility of the pipeline, capacity and demand, you will help balance workloads and ensure the team is set up for success. Your ability to coordinate, communicate, and work with data will directly contribute to strong delivery outcomes and an efficient, well-supported CxO team.
How You’ll Make a Difference
In this role, you will:
Resource Planning & Allocation
- Support resource allocation (including CxO consultants) across CxO and advisory projects, ensuring alignment of skills, availability and priorities
- Maintain and manage resourcing trackers and capacity planning tools, maintaining an ongoing dialogue with CxO leadership to pre-empt resource gaps
- Monitor utilisation and highlight potential gaps or conflicts in workload
- Support forward planning and forecasting of demand
- Facilitate the growth of team members by aligning projects with professional goals, providing opportunities for training and mentorship
Administrative & Operational Support
- Provide proactive administrative support to CxO team members including diary, meeting, and any travel coordination
- Act as a central point of coordination across teams
- Provide support to CxO team with CRM monitoring and updates
- Support CxO team leads with client take on procedures – from drafting proposals and engagement contracts, through to client onboarding
- Manage shared inboxes and ensure timely and professional communication
- Coordinate internal meetings, events, and client engagements
Stakeholder Engagement
- Work closely with the CxO team members (including CxO consultants) and wider stakeholders to understand resourcing and operational needs and identify solutions to fulfil them
- Communicate clearly and regularly with stakeholders on priorities, capacity, and adjustments for future resourcing
- Ensure regular contact with CxO consultants, including organisation of team days, meetings and events
- Maintain transparent and supportive communication with team members (including CxO consultants) regarding project assignments and workload expectations
- Build strong working relationships across the organisation
Data & Reporting
- Maintain and analyse resourcing data to inform strategic decisions and report on team utilisation, availability, and project alignment
- Support reporting on CRM and pipeline data, providing insights to support informed decision-making
- Regularly update and refine resourcing and pipeline tools and dashboards, providing actionable insights to senior management
Process Improvement
- Continuously assess and improve administrative and resourcing processes
- Support implementation of relevant tools and enhancements to ways of working
You’ll Be Ideal for This Role If You Have:
Experience
- Proven experience in resource or workforce management, ideally within a professional services or consultancy environment
- Familiarity with Excel, Power BI, or other data analysis tools is beneficial
Skills
- Strong analytical skills with experience using resource planning and tracking tools
- Excellent interpersonal and communication skills, with the ability to influence and collaborate with various levels of stakeholders
- A proactive problem-solver with strong decision-making skills, able to quickly assess situations and develop effective solutions
- Exceptional organisational abilities, with a talent for managing multiple priorities and adapting to changing needs
- A genuine commitment to helping team members reach their potential through thoughtful resourcing and career development opportunities
