To provide a high quality and comprehensive personal assistant service to the Patient Access and Cancer Services Management teams.
To deal with staff, managers, clinicians and external organisations in a professional and courteous manner, promoting a professional and efficient interface on behalf of the directorate of ophthalmology.

The post-holder will be accountable for their own actions and to manage their own workload.
The post-holder is expected to work flexibly and to multi-task to ensure high quality personal assistance and administrative support is provided at all times.
Main duties of the job
Provide a personal assistant service to the Patient Access and Cancer Services Management teams.
Manage incoming mail, telephone calls, reports and sensitive case matters
Use own initiative to plan time efficiently and prioritise incoming work
Maintain effective communication networks across the organisation
Deal positively and promptly with internal and external enquiries
Act as secretary to various meetings; prepare agendas, typing and distributing minutes and documents, keeping files accurate and up to date. Produce action plans following meetings
Produce accurate and high-quality type written material
Organise and manage efficient filing systems
Assist team with compliance to internal and external standards/regulations
Collate data and produce reports
To be actively involved in the implementation of any new computer systems that may be introduced
Maintain confidentiality of information at all times
Be responsible for the security and maintaining of staff personal records
To be responsible for the online requisitioning and distribution of stationery, clinical equipment/resources and pharmaceutical products.
To undertake any other duties as appropriate to meet the needs of the service

To provide supervision and training to administrative staff on lower grades
