Administration Assistant

Applications are invited from qualified and experienced administration candidates to join our busy administration team. We currently have a full‑time (37.5 hours per week) vacancy within Newcastle Older People’s Services at St Nicholas Hospital, Gosforth, Newcastle upon Tyne.
This is a very busy service and the successful post holder will be a member of the admin team to support the multidisciplinary clinical team in providing a comprehensive, high‑quality administrative service at all times. Duties include answering a busy telephone line, reception duties, processing referrals, dealing with day‑to‑day queries, updating the patient information system, sorting incoming/outgoing post, completing work from a shared inbox/work tray and other administrative tasks, all under the direction of the Administration Team Lead / Administration Manager / Clinical Manager.

- A good understanding of inputting data to a database system
- A good working knowledge of all Microsoft packages (Word, Excel, Office)
- Good verbal and written communication skills
- Ability to be self‑directed, motivated and contribute positively within a team

- Flexibility to meet the needs of the service
- Ability to cope with exposure to highly distressing or emotional circumstances and the willingness to participate in relevant training courses

Person Specification
Qualifications and Training
- Good general level of education to O‑Level / GCSE or equivalent in English Language
- NVQ Level 2 in Customer Care (or equivalent)
- NVQ Level 2 in Business Administration
Skills and Knowledge
- Working knowledge of Microsoft applications, including Outlook, Word, Excel and Power Point
- Ability to input data accurately and efficiently
- Perform repetitive tasks while maintaining attention to detail
- Ability to maintain and update Patient Information Database(s)
- Excellent communication and interpersonal skills, both verbal and written
- Demonstrates good customer care skills
- Knowledge of office procedures
- Organisational and planning skills using own initiative
- Knowledge of working in an NHS environment
Experience
- Experience of working in an administration role
